The staff of the Ministry of Finance and Economic Affairs are undergoing a three-week training on records management principles and practices for both electronic and paper records. The objective of the training is to raise awareness of information security and confidentiality stemming from the recognition of the benefits of well-managed records as well as the serious consequences of inadequate records systems by institutions.
Participants would also be exposed to interactive sessions on cyber and information security and data protection techniques and the National Records Service (NRS) Act.
The Ministry have deemed it necessary to have all the staff trained on the operational procedures of the record systems. The training is being conducted in collaboration with the National Records Service. The National Records Service is the one mandated by law to develop essential manuals of practice as well as detailed guides to concepts, skills, and techniques of records management and to restructure records offices. In addition, the NRS offers invaluable advice on the management of records in both electronic and traditional paper media.
The training focuses on understanding records management; analysing the context of records management; records classifications and documentation; creating capturing records; appraisals, retention, and disposition schedules; maintaining records management systems and assuring integrity; providing storage, access, and retrievals systems; implementing records management for practical and managerial issues, etc.
In completion of the training, participants are expected to have an in-depth knowledge of the Electronic Records Management Systems and a general understanding of standard records management principles and procedures put in place to safeguard the integrity and confidentiality of public records and information resources. According to Mr. Tamba Ndow, a Principal Records Officer at the Ministry, the reason for the training is to ensure that the personnel of the Ministry are equipped with the NRMS system to help protect data shared through electronic means.
The Director of NRS, Mr. Njaga Gaye reiterated in his opening remarks that understanding a record management system is one way to protect confidential information.
